Early versions of the conversation flow captured the right information but didn't sound like Buzzbloom; getting ElevenLabs' voice output and GPT-4's conversational tone to match how the agency actually talks to prospective clients required several rounds of scripting and voice tuning before it felt right on a live call.

Qualification logic also needed real-world calibration. The initial scoring rules, built from account managers' stated criteria, didn't always match how they actually prioritised leads in practice, there's often a gap between what a team says it looks for and what it really responds to. SmartFlow refined the scoring model against real call outcomes in the first few weeks of live use, rather than relying solely on the upfront discovery sessions.

Connecting Retell's call data cleanly into Go High Level via n8n also surfaced edge cases that don't show up in testing, calls that dropped mid-qualification, returning callers with existing CRM records, and enquiries that didn't fit neatly into a single pipeline stage.
