Public terms for use of the SmartFlow website

Please read these Terms before using https://www.smart-flow.uk. By using the website, you agree to these Terms. If you do not agree, please do not use the website.

This website is operated by SmartFlow AI LTD (company number 17134477), trading as SmartFlow AI (“SmartFlow”, “we”, “us” or “our”). We are incorporated in England and Wales and our registered office is at 11 Totman Close, Rayleigh, Essex, SS6 7UZ.

2. What these Terms cover

These Terms govern access to and use of our public website, including its pages, content, enquiry forms, booking functions and any public demonstration of an AI, automation, chatbot or voice service.

These Terms do not govern the supply of paid SmartFlow services. Any services we agree to provide will be subject to a separate written proposal, order, statement of work or services agreement.

Submitting a form, booking a call, requesting a demonstration or receiving an automated acknowledgement does not oblige either party to enter into a contract for services.

3. Website information is general

The website provides general information about SmartFlow and the types of AI, automation and digital systems we may provide. It is not advice tailored to your circumstances and is not legal, financial, medical, regulatory or other professional advice.

Examples, illustrations, demonstrations, estimates, case studies and potential benefits depend on assumptions, implementation, data quality, third-party systems and business conditions. They do not guarantee revenue, savings, conversions, availability or any other result.

You should obtain appropriate advice and a written SmartFlow proposal before relying on information for a material business, legal, financial, security or compliance decision.

4. Access and availability

We may update, change, suspend or withdraw any part of the website without notice. We do not guarantee that the website or any content will always be available, uninterrupted, secure or free from errors.

You are responsible for arranging your own access to the website and for ensuring that anyone using it through your connection understands and follows these Terms.

We may restrict or block access where reasonably necessary to protect the website, our systems, other users or our legal rights.

5. Acceptable use

A booking is subject to availability and may be rescheduled or cancelled. Unless we expressly agree otherwise, a discovery call or demonstration is exploratory and does not create a duty to provide advice, reserve resources or begin work.

Do not submit passwords, authentication codes, full payment-card details, unnecessary special-category personal data, trade secrets or other highly sensitive information through a general website form.

7. AI, chatbot and voice demonstrations

The website may include a chatbot, AI assistant, voice demonstration, automated booking function or generated output. We will identify an AI interaction where appropriate. Any recording or transcription should be notified at or before the relevant interaction.

AI and transcription systems are probabilistic and can produce incorrect, incomplete, outdated or inappropriate results. Demonstration output is illustrative and must not be treated as verified fact or professional advice.

Do not use a demonstration for emergencies, high-risk decisions, regulated advice or legally binding instructions. Do not provide confidential or sensitive information unless the interface expressly requests it and explains how it will be used.

We may monitor or review demonstration interactions for security, testing and quality where our Privacy Policy permits. We may suspend a demonstration if use creates a legal, safety, security or operational risk.

8. Intellectual property

We and our licensors own or license the intellectual property rights in the website and its content, including text, branding, graphics, layouts, software, workflows, demonstrations and materials.

You may view the website and print or download reasonable extracts for your personal use or internal business evaluation. SmartFlow AI and associated branding may be trade marks or trading names. These Terms do not grant a right to use them.

You may link fairly and lawfully to our public home page, provided the link does not damage our reputation, suggest an association or endorsement that does not exist, or appear within unlawful or misleading content.

You must not frame the website, create a link to a non-public area, or use our branding as a link without written permission. We may withdraw linking permission where reasonably necessary.

The website may link to or embed third-party websites, booking tools, videos, maps, social platforms or other services. Links are provided for convenience and do not mean that we approve or control the third party or its content.

If you use the website for business purposes, then, subject to the first paragraph of this section and to the fullest extent permitted by law, SmartFlow AI shall not be liable for any loss or damage arising from the use of, or inability to use, this website, or from reliance on any information contained on it.

Nothing on this website constitutes professional advice. Users should seek appropriate advice before acting on any information provided.

We are not responsible for loss caused by inaccurate information you provide, unauthorised or unlawful use, a third-party site or service, or an event beyond our reasonable control. This does not limit liability that cannot lawfully be excluded.

14. Suspension and termination

We may suspend or terminate your access to the website if you materially breach these Terms, threaten security, misuse a form or demonstration, or expose SmartFlow or another person to material legal or operational risk.

Provisions intended to continue after access ends remain effective, including intellectual-property, liability and governing-law provisions.

We may update these Terms to reflect changes to the website, our services, law or risk controls. We will publish the updated version and change the “Last updated” date. The new version applies from publication unless it states otherwise.

16. Governing law and courts

These Terms and any non-contractual obligations are governed by the laws of England and Wales.

If you are a business, the courts of England and Wales have exclusive jurisdiction. If you are a consumer, you may have the right to bring proceedings in the part of the United Kingdom or other country where you live, and mandatory local consumer protections continue to apply.
